Policies for Meetings, Conferences & Events in Grainger Hall
Policies
Food Items: All food items in Grainger Hall meeting spaces must be purchased through Union Catering or the Capital Cafe. No outside food is allowed. Conference Services will assess a $50 fee for all events that bring in outside food items and may revoke reservation privileges, if necessary.
Sponsorship of non-campus groups: Campus policy requires that non-campus groups wishing to meet within campus buildings obtain departmental sponsorship from either a campus department or governmental agency. We have provided two sponsorship letters from which you can choose. Each letter requires different sponsorship levels and acceptable signatures. Please print the completed letter on department letterhead and submit to our office prior to your event. If you have questions, please contact us.
Decorations: Users of Grainger Hall are allowed to bring in decorations, as long as the decorations are cleaned up after the conclusion of your event. The following is not allowed within Grainger Hall: glitter, confetti, taping of decorations to walls, windows, floors, etc. If unauthorized decorations cause damage to the building, repair fees will be assessed.
- Floral Arrangements: If you would like a floral arrangement provided for your event, please contact us. Our Catering Department is able to order floral arrangements for your event and will handle the delivery and pick-up of all floral items. Please see our catering page for more information.
Signs: No unauthorized posting is allowed in Grainger Hall. Any signs posted without prior approval will incur a fee of $5.00 per sign. Taping to the walls or other permanent fixtures is strictly prohibited. If signs cause damage to the building, additional repair fees will be assessed.
If you would like to post signs advertising your upcoming event, please submit your signs to the Information Desk, 1st floor Grainger Hall East Wing. Please include your name, phone number and email in case we have questions concerning your request.
Events outside of Building Hours: Events taking place before/after building hours require approval from the Director of Conference Services and the Building Manager. Please email confservices@bus.wisc.edu to request special permission to meet outside of building hours. Since Conference Services staffs all events, we may charge a fee of $25 per event staff, per hour outside of our normal building hours. Security: Conference Services reserves the right to contract out for professional security to monitor any function deemed necessary by the Director of Conference Services. Your group will be alerted to these fees prior to your event. Your group will be responsible for all security-related fees for your event.
